Follow these step-by-step instructions to download, install, and activate Microsoft 365 apps on your PC or Mac.
Installation Steps
- Sign in to Microsoft 365
- Visit office.com in your web browser
- Sign in using your Microsoft account or work/school account provided by your organization
- Access the Installs Section
- Once signed in, click on your profile icon or the “Install Office” button
- Navigate to “My Account” or “Installs” section
- Select Your Preferences
- Choose your preferred language from the dropdown menu
- Select the bit version (32-bit or 64-bit for PC – 64-bit recommended for better performance if your system supports it)
- Download the Installer
- Click the “Install Office” or “Install” button
- The installer file will download to your default downloads folder (typically named OfficeSetup.exe for PC or Office Installer.pkg for Mac)
- Run the Installer
- Locate the downloaded installer file and double-click to run it
- On PC: If prompted by User Account Control (UAC), click “Yes” to allow the app to make changes to your device
- On Mac: Follow the installation prompts and enter your Mac password if requested
- Follow Installation Prompts
- The installation process will begin automatically and may take 5-30 minutes depending on your internet speed
- You can continue using your computer during installation
- A progress bar will show the installation status
- Activate Your Apps
- Once installation is complete, open any Office app (Word, Excel, PowerPoint, or Outlook)
- Sign in with the same Microsoft account you used to download Office
- Accept the license agreement to activate your subscription
- Your apps are now ready to use!

- Prepaid: Some retailers offer prepaid cards for fixed-term subscriptions (typically cannot be changed mid-term)
Managing Your Subscription
Administrators can manage subscriptions through the Microsoft 365 admin center:
- Sign in to admin.microsoft.com with admin credentials
- Navigate to Billing > Your products
- View all active subscriptions, licenses, and billing information
- Add or remove users, purchase additional licenses, or change plans
Adding Users and Licenses
- In the admin center, go to Billing > Purchase services
- Select your current plan and choose to add more licenses
- Licenses are prorated based on your billing cycle

Switching Plans

- Prepaid subscriptions (cards/codes) cannot be changed or refunded mid-term
- When purchasing through third-party resellers like Beta Trades, billing and license management may be handled through the partner portal
- Business plans require verification of business status during purchase

Subscription Renewal
Microsoft 365 subscriptions are designed to renew automatically to ensure uninterrupted service. Here’s everything you need to know about managing renewals.
Automatic Renewal Process
- By default, all Microsoft 365 subscriptions have recurring billing enabled
- Your subscription automatically renews at the end of each billing period (monthly or annually)
- The payment method on file is charged automatically on the renewal date
- You’ll receive email notifications before renewal, typically 30 days in advance
- Access to services continues seamlessly without interruption
Managing Recurring Billing
To turn recurring billing on or off:
- Sign in to the Microsoft 365 admin center at admin.microsoft.com
- Navigate to Billing > Your products
- Select the subscription you want to manage
- Under the subscription details, click Edit recurring billing
- Choose to turn recurring billing On or Off
- Save your changes
Manual Renewal
- Sign in to the admin center and go to Billing > Your products
- Locate the expired or expiring subscription
- Click Renew or Resubscribe
- Complete the payment process to reactivate your subscription
- Services typically restore within 24 hours of successful payment
Handling Past-Due Payments
- Microsoft will attempt to charge your payment method multiple times over several days
- Your subscription enters a “grace period” where services remain active temporarily
- You’ll receive email notifications about the payment failure
- Update your payment method in the admin center under Billing > Payment methods
- Click Pay now to settle the outstanding balance and continue your subscription
- If payment isn’t resolved within the grace period, your subscription will be disabled
Updating Payment Information

For Microsoft 365 plans, depending on your choice of service, you'll be billed monthly or annually.
To provide you with the greatest amount of flexibility, different commitment terms and payment options are available.
- Monthly commitment with monthly payment: Sign up for a monthly subscription and pay month-to-month and cancel at any time.
- Annual commitment with monthly payment: Sign up for a one-year subscription and pay monthly.

Get AI features, including grammar and style suggestions with Microsoft Editor, focused inbox and suggested replies in Outlook, and live captions and meeting transcription in plans with Teams. For eligible business users signed in with a Microsoft Entra ID, Microsoft 365 Copilot Chat offers limited AI-powered chat with enterprise data protection. While Copilot Chat uses public web data for tasks such as research and analysis, it doesn’t integrate with Microsoft 365 apps or organizational content such as files, emails, or chats. Our Microsoft 365 for business base plans (charged per user) are designed for organizations with up to 300 users. Organizations with more than 300 users should consider subscribing to Microsoft 365 for enterprise plans. We reserve the right to enforce a tenant limit of 300 provisioned licenses across the family of business plans, in which case we will provide advance notice and further guidance. In the meantime, we are treating customers that have provisioned up to 300 licenses of each individual business plan (Microsoft 365 Business Basic, Business Standard, Business Premium) as compliant with this 300-seat limit. This applies even if they have provisioned more than 300 total licenses across the family of business plans.
You can cancel your subscription at any time. However, depending on the product and your subscription, there may be a penalty for canceling before the end of your contract. For subscriptions with a monthly commitment payment, there is no penalty for canceling your contract at any time. Annual commitment subscriptions paid month to month may incur some penalties if canceled early. Annual commitment subscriptions that are paid upfront do not receive a refund if canceled prior to the full contract period. Your data is yours. If you decide to cancel your Microsoft 365 subscription, you can download your data—for example, email and documents on team sites—and save it to another location. You should save your data before you cancel. After you cancel your subscription, data associated with your Microsoft 365 account will be available to your administrator(s) in a limited function account for 90 days.
